Run the productivity committee with AI — without the guesswork

From April 2027, many Japanese care facilities must run a productivity committee. Training videos are now cheap; what is hard to find is a repeatable way to run each meeting and real cases from other facilities. This community provides committee agendas, minutes drafts, AI templates for daily records, and a place to share cases — on a monthly plan.

What Changes in April 2027

The committee becomes mandatory

For facility-based, short-stay, residential and multi-function services, the transition ends on 31 March 2027 and the committee becomes an operating standard.

At least quarterly

A committee including frontline staff keeps reviewing work and technology. This frequency is also an add-on requirement.

Linked to an add-on

The productivity add-on is 100 units per resident per month for tier I and 10 for tier II; tier I has heavier equipment requirements.

Meeting 1 — See where time goes

Staff log time and burden by task for a week, so the longest and heaviest tasks surface.

Meeting 2 — Pick one change

Choose just one — records, handovers, rounds — and try AI or a revised procedure. Changing several at once makes the effect impossible to measure.

Meeting 3 — Measure it

Compare time, overtime and staff burden before and after — and check resident safety, such as incident counts.

Meeting 4 — Review and plan

Summarise the year in the form the add-on report needs, and set next year’s theme.

On Standard and above, we prepare the materials and minutes drafts for each meeting.

Weighing the cost against the add-on

At roughly ¥10 per unit (varies by region), add-on tier I is about ¥1,000 per resident per month — around ¥80,000 for an 80-resident facility, above the Standard plan at ¥29,800. Tier II is about ¥100 per resident, or ¥8,000 for 80. The add-on has requirements beyond the committee, and we cannot promise it.

AI Community for Care Facilities

Which services must set up a productivity committee?

Under the FY2024 care fee revision, facility-based, short-stay, residential and multi-function services must establish the committee, with a transition period ending 31 March 2027. From April 2027 it is a mandatory operating standard. Home-visit and day services were outside the requirement as of October 2026. Please confirm your own facility with the latest notices.

Will this get us the productivity add-on?

Holding the committee at least quarterly is one requirement of the add-on, but tiers I and II also require equipment and data submission. We cannot promise the add-on; we help organise your committee records in the form its report needs.

Is it safe to enter resident information into AI?

We assume names, addresses, dates of birth and diagnoses are never entered. Templates use placeholders such as "Resident A, a woman in her 80s", and we provide a usage policy template. We recommend business AI settings where inputs are not used for training.

Can AI write care plans?

AI produces drafts only. Care plans belong to care managers and medical judgement to nurses; final decisions always stay with professionals.

Is there a minimum term?

Committees run quarterly, so Standard and above start at six months. Light can be cancelled monthly.

Can this be combined with training subsidies?

We can provide staff training separately in a form eligible for the workforce development subsidy. The community is a separate contract and is never bundled free with subsidised training, as that could count as an effective discount and breach subsidy rules.
