Preferred IT

An IT department, only as much as you need.

Preferred IT takes over the IT function for companies without dedicated IT staff, on a monthly retainer. Account management and joiner/leaver handling across Google Workspace, Slack and GitHub; a live ledger of your SaaS and AI tools; security settings checks; and a help desk your employees can use. We run the same practice internally under our own ISO/IEC 27001 certification.

Common Situations

  • No dedicated IT staff — it falls to admin, or to whichever engineer knows the most
  • Accounts are provisioned and revoked by hand at every hire and departure
  • Nobody can say which SaaS contracts the company actually holds
  • Employees have started using generative AI with no rules on what may be entered
  • You want to hire an IT lead but cannot fund ¥500k–1M per month fully loaded
  • Nobody can answer a security questionnaire or an audit request

What We Take On

Joiner and leaver accounts

Provisioning on day one and revocation on the last day, run from a checklist so no account is left open.

SaaS and permissions

Google Workspace, Slack, GitHub, Notion, Box, Zoom and more — with contract value, renewal date, users and cancellation deadlines on one ledger.

Generative AI usage

Inventory of AI services in use, request intake, rulings on confidential and personal data, and tracking of terms changes.

Security settings

MFA, sharing settings, residual access after departures, DNS and email authentication (DMARC/SPF/DKIM), and backups.

IT help desk

One channel in Slack. From "I can't see the shared drive" to "what is this invoice", employees ask us directly.

Monthly report

Requests handled, SaaS usage and cost, open risks, and next month's work — in a form you can take straight to a management meeting.

Monthly Plans

All prices exclude tax, with a six-month minimum term. Onboarding — inventory and initial clean-up — starts at ¥500,000 in the first month, waived on 12-month contracts.

Standard

Up to 30 people

¥200,000 / mo

About 3 person-days per month

For companies just before hiring dedicated IT staff. We take over account provisioning and the daily "who do I ask about this?" queue.

  • Google Workspace / Microsoft 365 administration
  • Account management for Slack, GitHub, Notion and others
  • Provisioning and offboarding for joiners and leavers
  • SaaS and AI tool inventory, kept current
  • IT help desk (up to 10 requests/month)
  • Monthly security settings check
Most chosen

Growth

Up to 100 people

¥400,000 / mo

About 6 person-days per month

The size where headcount outpaces permissions and tooling. Inventory and permission design become a standing cadence, reported monthly.

  • Everything in Standard
  • Permission design and audit, quarterly
  • IT help desk with no request cap
  • SSO and IdP setup and operations
  • Generative-AI usage governance
  • Monthly report on usage, cost and risk

Enterprise

100–300 people

From ¥800,000 / mo

12+ person-days per month

You have an IT function but not enough hands. We work alongside it, including ISMS operations and audit response.

  • Everything in Growth
  • Device management (MDM) design and operations
  • ISMS annual operations and internal audit support
  • IT control and audit documentation
  • First response during incidents
  • Handover and in-housing support for your IT staff

How these numbers are derived

Our standard rate is ¥64,000 per person-day (¥8,000 per hour). Dividing a monthly fee by that rate gives the hours it actually buys: Standard at ¥200,000 is about three person-days a month, Growth at ¥400,000 about six. Sustaining joiners, leavers, inventory and a help desk for 30 people takes two to three person-days a month, which is where Standard is set. We would rather quote the hours the work needs than win on price and then fall behind.

Add-ons

Available on top of any plan. We do not take these on standalone.

+ ¥150,000 / mo

AI Governance

Inventory and usage rules for the generative AI in use across your company — ChatGPT, Claude, Gemini, Copilot. One list of what may and may not be entered, kept current as terms change.

+ ¥150,000 / mo

Security Operations

Monitoring and response across Cloudflare, WAF, GuardDuty, Dependabot, DMARC/SPF/DKIM and backups — the same practice we run on our own ISMS-certified operations.

+ ¥150,000 / mo

Workflow Automation

Automation with n8n, GAS and APIs, starting with high-volume work that follows a fixed procedure. Built one at a time; only what works is kept.

+ ¥100,000 / mo

Web Operations

Updates to your corporate site and landing pages, CMS operations, uptime and form monitoring — including sites built by another vendor.

How We Start

01

Inventory (first month)

We map every SaaS contract, account, permission and AI tool actually in use. This is where dormant accounts and unused contracts surface.

02

Clean up (months 1–2)

Revoking what should be closed, tidying permissions, fixing gaps in MFA and backups, and documenting the joiner/leaver procedure.

03

Run (month 3 onward)

Joiners, leavers, requests and monthly checks run on a fixed cadence. Once stable, we decide together what to automate and what to bring in-house.

Outsourced IT & operations

What is Preferred IT?

An outsourced IT department on a monthly retainer, for companies without dedicated IT staff. We handle account management and joiner/leaver processing across Google Workspace, Slack and GitHub, maintain a ledger of your SaaS and AI tools, check security settings, and run an IT help desk. It is designed for companies of 30–300 people.

What does it cost?

Standard is ¥200,000/month (up to 30 people), Growth ¥400,000/month (up to 100), and Enterprise from ¥800,000/month (100–300). All exclude tax with a six-month minimum term. Onboarding — inventory and initial clean-up — starts at ¥500,000 in the first month, waived on 12-month contracts.

Why is this more expensive than a ¥50,000/month service?

Our standard rate is ¥64,000 per person-day (¥8,000 per hour). ¥50,000 buys about six hours, which will not cover joiners, leavers, inventory and a help desk for 30 people. We would rather quote the hours the work needs than win on price and then fall behind. ¥200,000 is about three person-days a month.

How does it compare with hiring an IT lead?

A full-time hire costs roughly ¥500,000–1,000,000 per month fully loaded and takes three to six months to recruit. Standard is a third to a fifth of that and goes live two weeks after signing. We are not on-site, so if you need someone present every day, hiring is the better fit.

Can you handle generative-AI usage governance?

Yes, as an add-on at ¥150,000/month. We inventory the AI services in use — ChatGPT, Claude, Gemini, Copilot and others — take in usage requests, rule on confidential and personal data, and track changes to each provider's terms.

Can we use this if we already have IT staff or a vendor?

Yes. Enterprise is designed for companies that do. We map the split with your existing vendor before contracting and remove any overlapping scope from the quote.

You can talk to us before requirements are finished.

We can start by sorting what to do first. We run businesses ourselves, so the conversation stays about labor and ops. Consultation and estimates are free.
